Guidelines
for hiring a Postdoc or Visitor
There
are numerous policies and guidelines to keep in mind as you
are thinking about hiring a postdoc or inviting a visitor to Caltech. The Postdoctoral Scholars/Visitors Services
office is responsible for making sure that all applicable terms and contractual
agreements with postdocs and visitors are consistent with Institute policies. Please refer to the Postdoctoral Scholar’s
Handbook for specific policies that apply to postdocs and visitors.
Appointment letters and contracts are generated in the
PDS/VS office upon receiving the recommendation/appointment form from the division.
For routine appointments, expect
four (4) weeks
turnaround time for domestic appointments and eight (8) weeks turnaround time
for foreign national appointments (additional time is necessary due the
immigration application process). Contact the PDS/VS office
for appointments that will need special handling.

Here are some things to keep in mind as you are contemplating
hiring a postdoc or visitor:

Minimum salary requirements

Minimum
postdoctoral scholar salary is reviewed and determined
each year by the Provost with the concurrence of the
Institute Academic Council (IACC). Contact the PDS/VS
or any academic division office for the current salary
requirements

Visitors
must show proof of outside funding (in U.S. dollars),
personal funds along with any other supplemental funding
(discounted housing, etc.), to meet minimum salary
requirements

If a postdoc is receiving a stipend from a fellowship,
the faculty sponsor or division must identify the source of funds for the Institute's
share of health and welfare benefits.

Relocation, per diem, living
expenses and/or travel
reimbursement, and research allowance

Under
normal circumstances, an incoming salaried postdoc is given three (3) months
to show proof of completion of his or her PhD.
After three months, the postdoc must be transferred to staff status, until the
PhD is completed. Caltech postdocs stationed at JPL,
however, must have completed all PhD requirements upon
arrival.
